What is Postillion?
Postillion is a sector-based financial management software designed to help college clubs and small non-profits take complete control of their finances without having to spend hours in spreadsheets or shell out hundreds of dollars to use a major business financial management software. This platform was designed to allow organizations to organize items their members need, track purchases, and better allocate their funds. Our product was developed by college kids for college kids. We are new to the market, but here to change the game so if you ever have any questions or are interested in joining the cause, please join the Discord and send us a message 🙂
How do I join?
Press the ‘Go to App” button at the top of the screen!!!!! The first step to joining Postillion is creating an account for yourself. Even if you are the organization manager, we highly recommend creating an account for yourself. Postillion allows you to easily transfer managers at anytime, so there’s no need to create a generalized account. In fact, doing this will make it less secure for your organization! You will see an option to enter an invite code on the account creation page. If you have received an email from Postillion (its a spearminttech.com email address) with an invite code, you can enter it here. If not, no worries! Go ahead and create an account. If you are the organization’s manager, you don’t need an invite code as you will be registering the organization. If you are a sector lead, contact your manager to see if they’ve registered the organization with Postillion yet.
How do I import and export data?
One of the most revolutionary parts of Postillion is the ability to take long and complicated spreadsheets and natively implement them into your inventory. To import or export data, click on the ‘import/export’ button on a specific sector’s page in the sector tab. Then follow the steps on the page that appears and it’ll take you from there.
How do I purchase parts?
To document your purchases, simple click the ‘Start Purchase Order’ button. This will open a window to allow you to see all items that you can mark as purchased. Remember, only approved items will show here, so if you’re missing something, make sure you’ve marked it as purchased. To mark an item for a pruchase order, simply click the check box next to the item. Finally, impor how much you paid total for taxes and shipping on that order and attach a receipt. Because we only accept one receipt per order, we recommend doing one vendor at a time or merging PDFs. Then submit your purchase and you are good to go!
What does “Sector-Based” mean?
You’ll often hear us refer to Postillion being ‘sector-based’. This means the finances of an organization are divided between different sections of the club. Think of this like how a company might be one entity, but has multiple departments within it (like legal, public relations, hr, etc.). This is a very similar concept to how sectors work. Each sector gets it’s own budget, leader, and items, but it is up to the organization manager how funds are distributed and which items are approved. This helps you easily differentiate items and determine the needs of your organization better. You may only need one sector or you might need dozens. It’s all up to you and how you organize your group!
How do I register my student organization?
Once you have created an account for yourself, the next step is to register your organization. You will see on the Dashboard tab that it says you are not part of an organization and displays a button to register your organization. Click that button and follow the prompts to register your organization. On this page, you will see some options to add sectors. We highly recommend doing that now. Just enter the name of the sector and then type in the name nad email address of the person responsible for that sector (choose someone besides yourself!). Once you hit that register button, emails will be automatically sent out to your sector leads inviting them to join your Postillion workspace with an invite code. They can either enter that invite code when they sign up or after they’ve created an account. Once they do that, they will have access to only the sector you’ve assigned to them! Once you’ve hit the registration button, you are ready to start using Postillion!
How do I take action on items?
As the manager, it is your job to approve and purchase the times that are requested. Doing this is fairly simple – click the three dots next to the item and select one of the following options: View Item – This will show you all the details about the item so you can make an informed decision. Approve Item – Approving an item is an indication that you intend to purchase the item! This will allow you to mark it under a purchase and place it in an order. Cut Item – Cutting an item indicates you do not intend to purchase that item. This will keep the item in your sheet but cannot be purchased. Delete Item – If there’s something really wrong with an item, you can delete it. This will remove it from the sector entirely. Beware! This cannot be undone. Once you’ve taken action on an item, it cannot be changed (don’t worry, were working on a feature to change this).
